In short: We collect what we need to run scans, deliver reports, and operate the platform — and we're transparent about it, including the public data our scan reads and the automated/AI processing behind it. We handle personal information in line with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs).

From you (when you run a scan, sign up, or contact us):
Identity and contact — name, business name, email, and phone number (where you provide it).
Business inputs — your website, and the operating inputs you choose to give us during a scan (for example, enquiry volumes, conversion counts, and deal values).
Account and usage — login activity, the slides and tools you interact with, and your communications with us.
Automatically: technical and usage data such as device and browser type, IP address, pages visited, and attribution parameters (for example, the campaign link you arrived through). See our Cookie Policy.
About businesses we scan (the outside-in read): to produce intelligence, our scan reads publicly available information about a business — including from publicly maintained records, search results, business listings, and public profiles. Where that public information includes personal information (for example, an owner's name attached to a public listing), it is handled under this Policy. We do not access private accounts or data behind a login.
We do not collect sensitive information (such as health, racial, or religious information). We do not collect or store full payment card numbers — payments are handled by our payment provider.
We use personal information to:
run scans and produce the Instant Read and Capture Report;
deliver and operate your subscription and AxiomAIQᴺ Command;
send service messages, report-delivery notifications, and — where you've consented — related updates;
improve, secure, and support the platform;
build de-identified, aggregated benchmarks (see section 4); and
meet our legal obligations.
We won't use your personal information for an unrelated purpose without your consent, unless the law allows or requires it.
A core part of the platform is cross-business benchmarking. We de-identify scan data before it enters the benchmarking database, and we use it only in aggregate — it is not used to identify you or any individual. Aggregated, de-identified benchmarks may be shown to other users as peer comparisons.
Our scan uses automated systems, including AI tools, to read public data, generate findings, and calculate indicative figures. We're transparent about this because it's how the product works, and it aligns with the automated-decision-making transparency requirements taking effect under the Privacy Act on 10 December 2026.
The personal information used in automated processing is the contact and business information described in section 2.
Automated methods can be imperfect; outputs are indicative intelligence, not decisions that determine a person's legal rights or entitlements. Any meaningful next step (such as a Working Session or a system build) involves a person, not an automated decision alone.
The AI synthesis layer is used internally to organise and enrich data; the figures and findings we show you are grounded in your own inputs and in deterministic public-data results.
We use PostHog for product analytics — to understand how people use the site so we can improve it. This runs only if you accept cookies. If you reject, nothing is captured — no analytics, no session data. We use one cookie to remember your choice. We do not use advertising cookies, and we do not sell your data. If you reject, the site works exactly the same way.
Where we record a call or a Working Session (for example, for onboarding, accuracy, or quality), we'll tell you before recording and proceed only with your consent. You can ask us not to record, and you can request a copy of, or the deletion of, a recording of you, subject to our legal obligations.
We share personal information only as needed to deliver the service, with:
Sub-processors — intelligence and search providers (for the scan's public-data reads); platform infrastructure and database (hosting and storage); our CRM and client platform (which runs installed-client systems); messaging (email and, where you've consented, SMS); scheduling (booking sessions); and workflow and accounting providers.
Professional advisers — including lawyers, accountants, and insurers, where reasonably needed.
Authorities — regulators, courts, or law enforcement, where required or permitted by law.
A buyer of our business — if we're involved in a merger, acquisition, restructure, or sale of assets, your information may be transferred as part of that transaction.
A current list of sub-processor categories is maintained on this page. We do not sell, rent, or trade your personal information.
Some of our providers store or process data outside Australia, including in the United States. Before disclosing personal information overseas, we take reasonable steps to ensure it's handled consistently with the APPs. By using AxiomAIQᴺ, you acknowledge that some of your information may be processed overseas.
Service and report-delivery messages are transactional and identify us as the sender. We only send promotional SMS where you've given express consent (an unticked opt-in at sign-up), and we record the wording and time of that consent. You can opt out of SMS any time by replying STOP, and out of marketing emails via the unsubscribe link. This is consistent with the Spam Act 2003 (Cth).
We take reasonable technical and organisational steps to protect personal information from misuse, loss, and unauthorised access — including encrypted transmission (HTTPS/TLS), access controls, and server-side-only access to stored data. No system is perfectly secure, so we can't guarantee absolute security. You're responsible for keeping your login details secure, and should tell us promptly at hello@axiomaiqn.com if you think your account has been accessed without authorisation. We participate in the Notifiable Data Breaches scheme and will notify you and the OAIC where an eligible data breach occurs.
We keep personal information only as long as needed for the purposes above or as required by law. Business and transaction records are typically kept for at least 7 years to meet Australian tax and record-keeping obligations. De-identified benchmark data isn't subject to this limit because it no longer identifies anyone.
Under the Privacy Act you can ask us to: give you access to the personal information we hold about you; correct information that's inaccurate or out of date; stop sending you marketing; or delete your information (subject to our legal obligations).
To make a request, contact hello@axiomaiqn.com. We'll respond within a reasonable time, and within 30 days where practical. We may need to verify your identity first. We may decline or limit a request where the law allows — for example, where granting access would affect another person's privacy, where the request is frivolous or vexatious, or where there are legal proceedings on foot — and we'll tell you why. A reasonable cost may apply to an access request.
If a business doesn't want to appear in a scan: if you operate a business and don't want us to hold information surfaced about it, contact us and we'll action your request in line with the APPs.
If you think we've mishandled your personal information, contact us first at hello@axiomaiqn.com — we'll acknowledge within 5 business days and aim to resolve within 30 days. If you're not satisfied, you can complain to the Office of the Australian Information Commissioner (OAIC) at oaic.gov.au.
AxiomAIQᴺ is a business platform not intended for anyone under 18. We don't knowingly collect personal information from minors.
We may update this Policy to reflect changes in our practices or the law. The current version is always published on this page.
